The Experiential Learning Office has an opening for a part-time administrative
position.
Position Description:
The Field Studies Office is responsible for supervising all logistical aspects of
running our field trip program, including scheduling and bookings, developing
itineraries, creating and monitoring budgets, allocating resources and ensuring
that safety guidelines are followed for activities off campus.
Reports to:
Assistant Director for Students’ Academic Success
Responsibilities:
- Organize I-Explore weekend trips and I-Experience full day and half day trips. This includes and is not limited to:
- Creating and managing related budgets and documentation and appropriate planning to minimize/avoid financial loss; budget reconciliations
- Bookings, accommodations, tour guides
- Adequate scheduling
- Updating offer and ensuring interdisciplinary approach
- Developing and maintaining contacts with suppliers, venues and collaborators
- Developing a calendar of field trips for each semester
- Providing informative materials for students
- Organizing sign-ups and monitoring attendance, including assisting students with finding replacements, tracking changes, and updating the bookings accordingly
- Assigning lectures and support staff
- Coordinating with the HR office for related payroll documents
- Assisting with recruitment of new field trip lecturers as necessary
- Ensuring that lecturers and accompanying staff are trained in Syracuse procedures and safety protocols
- Developing local experiences to enhance cultural immersion during the semester
- Relative communications with students’ pre-arrival and during orientation
- Contribute to planning of course-related site visits and field trips. This includes and is not limited to:
- Assisting faculty in developing new course-related site visits and field trips which will contribute to the academic standards of the program
- Bookings, accommodations, tour guides
- Assisting with related budgets and reconciliation
- Contribute to planning of Short-term and Faculty-led programs. This includes and is not limited to:
- Coordinating and supervising all logistics of Signature Seminars (pre and post semester), short residencies and faculty-led programs
- Creation of budget and all bookings
- Coordinating with SU Abroad as necessary
- Ensuring that all legal and safety protocols are in place and followed
- Special events
- Collaborate in the organization of special events hosted by SUF such as group visits tied to the home campus and partner schools, conferences,
- Alumni events
