Position Description:
The Experiential Learning Office has an opening for a full-time administrative position.


The Experiential Learning Office deals with all logistical aspects of running our field trip program, including scheduling and bookings, developing itineraries, and ensuring that safety guidelines are followed for activities off campus.

The ideal candidate will have excellent working knowledge of excel and experience of managing budgets.


Reports to:
Assistant Director for Students’ Academic Success


Responsibilities:
Assist with organization of course-related site visits and field trips. This includes and is not
limited to:

  • creating and managing related budgets and documentation and appropriate
    planning to minimize/avoid financial loss; budget reconciliations
  • bookings
  • assisting with related budgets, tracking of expenditure and reconciliation
  • adequate scheduling
  • developing and maintaining contacts with suppliers, venues and collaborators
  • providing informative materials for students
  • monitoring attendance and updating the bookings accordingly
  • assigning support staff as necessary
  • liaising with the HR office for related payroll documents
  • contacting local suppliers to develop the range of cultural immersion experiences
    offered during the semester

Assist with organization of Signature Seminars. This includes and is not limited to:

  • creation of budget
  • bookings, itinerary, guides
  • financial reconciliation


Assist with organization of short-term and faculty-led programs

  • manage bookings and logistics

Special events

  • collaborate in the organization of special events hosted by SUF such as group visits tied
    to the home campus and partner schools, conferences, alumni events

Field trips phone

  • take the field trips phone on a rotating basis to provide logistical support at weekends as necessary


Requirements:

  • Italian citizen or legal work permit for Italy
  • Experience living, working, or studying abroad
  • Knowledge of study abroad programs, international education and the U.S. academic
    system
  • Experience working with groups of US students
  • Excellent oral and written Italian and English language skills
  • Excellent working knowledge of Microsoft Excel
  • Ability to develop and manage budgets
  • Exceptional, demonstrated organizational skills and attention to detail
  • Ability to work in a fast-paced environment, adapting to high-pressure peaks in
    workload
  • Being able to work with a team
  • B.A. required; M.A. preferred
