Events Assistant – Full Time position


Position Description


Reports to:

Director

Responsibilities:

Coordinating institutional events, conferences, alumni engagement events, VIP visits. This includes and is not limited to: 

– Drafting and implementing itineraries

– Managing all bookings and logistics related to the event or visits (hotels, museums, restaurants, transportation, etc.)

– Organizing receptions  

– Planning and coordinating the logistics of the event

– Coordinating event suppliers (venues, catering companies, transportation, etc.)

– Creating and managing event budget and financial reconciliation of expenses

 

Requirements:

  • Italian citizen or legal work permit for Italy
  • Experience in event planning
  • Excellent oral and written Italian and English language skills
  • Ability to develop and manage budgets
  • Exceptional, demonstrated organizational skills and attention to detail
  • Ability to work in a fast-paced environment, adapting to high-pressure peaks in workload
